EzeScan’s Remote Indexing Assistant (RIA) delivers measurable business value by improving information flow across an organisation, enabling efficient capture, processing and registration of business-critical documents as they enter a business.

Capture Documents from Multiple Sources

RIA enables documents to be captured from a variety of input channels within the business.
These include scanned hardcopy documents from MFDs, emails and attachments, digital forms as well as electronic files uploaded via drag and drop.
Documents can also be automatically imported from configured sources such as mailboxes, file systems or Azure Blob storage.
All incoming files are converted to PDF and OCR’d for data recognition

Document Centric Workflows

Organisations can create different RIA pages for different document centric workflows or specific business process.
These pages function as controlled processing queues (intray), with independently defined metadata requirements and workflow rules.
Metadata fields can be configured using a range of field types, including text, dropdown selections, dates, checkboxes and system lookups.
Access to queues can be managed through shared or user-specific permissions, supporting both team-based and individual processing models.

Automated Functionality through Pre-Processors

Document workflows are supported by configurable pre-processors that apply automated processing steps.
These include AI-driven data extraction or discovery, barcode recognition, blank page deletion, document splitting.
Validation can be performed through database or EDRMS lookups to ensure accuracy and consistency of automated extracted metadata.
Pre-processors can be configured in sequence to support more complex requirements, allowing varying levels of automation across workflows.
Depending on configuration, documents may proceed directly to storage or be directed to a user for review.

User Approval and Indexing via Web Interface

RIA provides a browser-based interface for reviewing and completing document processing tasks.
Users can be notified when documents are assigned to their queue and require action.
Users can review content, confirm or update metadata, and perform system lookups where required.
Access is available from any device with a web browser, supporting flexible working environments.

Automated Naming and Document Filing

Following automated processing or user QA, documents are routed according to defined workflow rules.
This may involve progression to additional queues or direct upload to configured destination systems.
Validation can be performed through database or EDRMS lookups to ensure accuracy and consistency of automated extracted metadata.
File naming conventions can be generated dynamically based on captured metadata, ensuring consistency across records.
Metadata is applied and mapped as part of the upload process, with documents automatically stored in the correct location.
